Activities and A/V Department Manager - Sun City

Department: Events & Entertainment

ACTIVITIES and A/V DEPARTMENT MANAGER

Job Summary: The ringleader of fun and flair for the Activities and Audio/Visual departments at the Recreation Centers of Sun City (RCSC). This role brings energy and organization together by overseeing the planning, coordination, and execution of dynamic activities and A/V experiences—all aligned with Board policies. Leads the creative vision behind a diverse lineup of programs designed to excite, engage, and inspire a vibrant 55+ community. Champions a culture of intentional decision-making rooted in the organization’s mission, vision, and values—because great experiences don’t happen by accident.

Duties and Responsibilities:

  • Manage all aspects of RCSC activities with members in mind, ensuring we are meeting the community standards, to include but not limited to: development, planning, coordination, logistics, space needs and design, audio/visual needs, ticket sales, food and beverage, signage, security, traffic control, parking, staff and volunteer requirements, collateral, messaging and branding, communication and marketing, vendors, schedules, timelines, facilitation, financial records, statistics, publication of calendars, etc.
  • Manage all aspects of reservation, usage, and rental of RCSC facilities.
  • Negotiate and execute contracts and agreements with professional agents, performers, food and beverage providers, and other event vendors and activity suppliers.
  • Collaborate with the Communications team to promote events, activities, and any content created by the team.
  • Collaborate with the Golf Grills to bring events to their facility when possible.
  • Be a culture influencer and research market trends.
  • Develop new revenue generating opportunities.
  • Create and maintain an annual calendar of events.
  • Participate in the preparation and administration of the Department budgets.
  • Participate in the development of new and updating existing processes, policies and procedures as needed. Maintain records and prepare reports as requested.
  • Attend various Committee meetings as scheduled and other meetings as requested.
  • Perform other duties as requested, directed, or assigned.

Qualifications:

  • Minimum 5 years of direct experience in managing, leading and directing multiple departments within an organization.
  • Minimum 5 years direct experience in managing activities that include both food, beverage, and entertainment. Prefer experience in 55+ large scale community.
  • Minimum educational requirements include high school diploma or its equivalent, Bachelors degree in related field a plus.
  • Highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Canva).
  • Ability to oversee the light and sound operation for productions.

Knowledge, Skills, and Abilities:

  • Ability to anticipate, understand and respond to the needs of internal and external customers to achieve the goals of the organization. Must have excellent customer service and public relations skills.
  • Essential to have the creativity to provide a variety of activities that appeal to a 55+ active-adult, large scale community.
  • Ability to remain calm and confident with unreasonable customers.
  • Strong problem-solving skills and ability to make sound decisions fast and work in a high paced, high-pressure environment when needed.
  • Strong ability to communicate effectively both orally and in writing.
  • Must be effective with volunteers and committees and a skillful team player.
  • Ability to interact with press and media professionally and appropriately when necessary.
  • Must be a self-starter and able to work independently with little supervision.
  • Strong organizational skills and detail oriented.
  • Ability to maintain complete and total confidentiality when required.
  • Knowledge of documents under which the corporation operates.
  • Ability to supervise and manage personnel.
  • Knowledge of Microsoft Office systems and other technology.
  • Ability to apply common sense understanding to carryout instructions furnished in writing, orally, or diagram form.
  • Ability to have a high degree of accountability, initiative, and dependability; keep comments, work with integrity and ethically, remain objective, support organization’s goals and values, display original thinking and creativity, generate suggestions for improving effectiveness and efficiency.
  • Provide safe working conditions in compliance with established procedures and safety training.
  • Widespread knowledge of local, state, and federal laws.
  • Thorough knowledge of office practices and procedures.
  • Ability to obtain and maintain a valid State of Arizona Driver's License.

Working Conditions/Physical Demands:

  • Must be willing to work odd hours including evenings, weekends, and holidays as necessary.
  • Work performed will occur in a variety of environments located both indoors and outdoors.
  • Physical activity including sitting, standing, walking, bending, and reaching is required frequently, with intermittent physical activity of stooping, kneeling, and crouching.
  • Sitting for extended periods of time may occur.
  • Occasionally required to climb or balance and taste or smell.
  • Ability to lift and carry approximately 25 pounds required.
  • Must be able to transport oneself efficiently between RCSC facilities.
  • Must be able to speak English in a clear and understandable voice and hear.
