Clubs Office Assistant - Full Time - Recreation Centers

Department: Chartered Clubs

CHARTERED CLUBS AGENT (Office Assistant)

Location: Oakmont Recreation Center, Sun City

Days/Hours: Monday-Friday; 7:30am-4pm

Job Summary: Coordinate and schedule club schedule requests for Recreation Centers of Sun City (RCSC) Chartered Clubs. Responsible for reconciliation of fees collected, daily financial transactions and deposits.

Duties and Responsibilities:

  • Interact with internal and external customers, including: RCSC personnel, club officers, club members and Club Organization Committee (COC) members.
  • Schedule club space use as requested by or approved by club president/officer. Identify alternative time(s) or location(s) as necessary.
  • Communicate requests for RCSC Audio/Visual Technicians when audio/video resources are required for a club event.
  • Communicate with Center Leads regarding set-ups for club scheduled events or changes to schedules and/or set-ups.
  • Create setups for club events.
  • Support club publicity: collect information, edit/review then submit to Communications Coordinator/Clubs Supervisor.
  • Process transactions for club guest fees and donations.
  • Reconcile daily financial transactions and fees collected and submit reconciliation report to the Accounting Department with the daily deposit.
  • Prepare club reports, lists, and/or spreadsheets as needed.
  • Update information posted regarding Club activities
  • Prepare flyers and other information to be distributed to RCSC Centers
  • Other duties and responsibilities as assigned

Qualifications:

  • Three years’ administrative and customer service experience required.
  • Experience developing schedules and reconciling daily financial transactions desired.
  • Proficiency with Microsoft Office Suite required, including Word, Excel, Outlook, and Teams
  • Experience using Adobe Acrobat in a work capacity

Knowledge, Skills and Abilities:

  • Ability to effectively communicate and establish working relationships with RCSC personnel, cardholders, club officers, and Club Organization Committee (COC) members.
  • Ability to work independently, multi-task, and adjust to frequent interruptions and changing priorities
  • Ability to learn new computer applications with ease
  • Ability to compose correspondence and documents with excellent proofreading and editing skills
  • Ability to obtain and maintain a valid state of Arizona driver’s license.
