FIXED ASSET COORDINATOR - working with Finance as well as Facilities department
Reports to: CFO; working in Finance/Accounting approx. 2 days/week, in Facilities approx. 3 days/week
DAYS/HOURS: When in Finance/Accounting: 7:30am-4pm; when in Facilities: 6am-2:30pm
Salary: $54,000

JOB SUMMARY:
This position processes, monitors, analyzes and reconciles fixed assets, buildings, facilities, structures (inventories); to include capital improvement projects and construction related items. This position is responsible for updating, monitoring and reviewing the Recreation Centers of Sun City (RCSC) Reserve Study database, spreadsheets, and fixed asset inventory to include periodic updates of all facilities/buildings and amenities assets.
Position may be assigned to an area of specialized work and may support one or more of a combination of support areas as assigned and directed. This position plays a crucial role in the RCSC in the financial management of assets by overseeing the accounting, documenting, record keeping and reporting (updating of inventory) of fixed assets, as well as contributing to general tasks, functions and monitoring related to this position. The ideal candidate will have a strong computer background in fixed asset inventory, reporting, monitoring and management; to include general accounting principles, financial acumen and business practices.
The Facilities Asset Coordinator collaborates with all RCSC Departments/Divisions to stay updated and abreast of projects, preservation improvements of infrastructure, replacements and capital projects. The position collaborates with cross function teams, departments, divisions, staff and personnel to ensure the proper recording of all RCSC fixed assets, transactions, and improvements to buildings, facilities, infrastructure and amenities throughout the RCSC. It assists in financial analysis, data inventory/collecting as well as handling other job responsibilities and work assignments as directed.
KEY DUTIES & RESPONSIBILITIES:
- Maintains and is responsible for a comprehensive database, inventory and reporting updates of the Reserve Study for the Recreation Centers of Sun City (RCSC)
- Accurately records, documents and updates fixed asset transactions, capital improvements within the RCSC, small projects, PIF projects as well as other enhancement, replacement and/or improvement projects
- Conducts regular physical assessments, reporting and documenting status of Fixed Assets within the RCSC to include in the field inventory, assessments and monitoring at over 75 properties, buildings, facilities, structures and amenities
- Calculates and records depreciation schedule and replacements (schedule of Fixed Assets) throughout the RCSC; to verity the ongoing accuracy in compliance with relevant reporting and documentation practices
- Ensures proper allocation of depreciation expenses across all departments/divisions based on general accounting practices within the RCSC
- Collaborates with RCSC Finance/Accounting Department as well as the Facilities Department to analyze proposed (and current) capital improvements, projects and expenditures, providing financial short term and long term impacts
- Assists in the preparation of the annual Fiscal Year budget process, regarding replacement schedules, budgeting proposals and financial justification for capital projects, R & M projects, PIF projects, emergency improvement and/or enhancement projects as well as small projects within the RCSC
QUALIFICATIONS:
- Bachelor’s degree from an accredited college/university in accounting, financial management or business administration or in a related field
- One (1) year full-time work experience
- Other combinations of experience and education that meet the minimum requirements may be substituted.
- Possession of a valid State of Arizona driver’s license (at start date)
KNOWLEDGE, SKILLS AND ABILITIES:
- Proficiency in using accounting, financial and database software systems for financial analysis
- Advanced proficiency in Microsoft Office, Excel, Word, and Outlook
- Ability to work between end-user (Membership) and RCSC staff
- Ability to develop clear and effective reports and presentations of data to diverse audiences and groups
- Typing skill set (proficient)
- Strong financial management, budgeting & accounting skills
- Ability to work independently and manage time efficiently, especially with a multitude of deadlines and work assignments
- Attention to detail and accuracy in record keeping, documentation and analysis
- Excellent written and oral communication skills for effective collaboration with various other staff/teams, departments and divisions
- Analytical mindset with the demonstrated ability to interpret financial data, statements, reports and provide insight on data findings to management
- Detail oriented with an acute ability to work independently and multi-task regarding work assignments, goals, objectives and responsibilities
- Analyze problems and come to achievable solutions/recommendations for management staff
- Manage assigned projects by prioritizing work to meet established deadlines, ensuring that directives, goals & objectives are accomplished while simultaneously keeping management informed
- Work effectively with other RCSC departments, divisions and Facilities Department staff to achieve Corporation-wide goals, objectives and assignments
